Background Check Information

All Program Operators and Designated Individuals involved in a Campus Program for Minors at Texas State University (TXST) must have a cleared background check completed within the past year and valid through the entire program session.

Background checks are initiated and tracked in Ideal-Logic. Program Operators may list Designated Individuals during program registration. An external background check may be requested if the Designated Individual is a recently hired TXST employee who completed a check within the past year through TXST HR/HireRight.

Program Operators are responsible for ensuring all Designated Individuals have a cleared background check on file before the program begins. Any individual working without one will render the program non-compliant with university policy.

Extended Learning will cover the upfront cost of background checks. Program Operators will be invoiced after their program ends for the total cost of checks conducted for their program. Costs vary by person, with an estimated range of $15–$20 per individual.

Any background check that reveals offenses related to the following will not be cleared, and the individual will not be permitted to work with minors:

  • Abduction
  • Abuse and neglect of children
  • Abuse and neglect of incapacitated adults
  • Any felony violation relating to possession or distribution of drugs

Background Checks for Minors

Background checks are not required for designated individuals who are minors. If a PO wishes to request a BGC to be done for these individuals, guardians of the minor must provide written consent and authorization for a BGC. It is the responsibility of the PO to collect consent from the guardians and provide it to Minors on Campus before BGC are initiated.
